Florida Theatre Lifts Curtain on New Point-of-Sale System
With up to ten separate bars, Florida Theatre is challenged to keep up with orders and payments during its nightly events. As host to some of the biggest names in entertainment, the historic venue offers 200 entertainment events each year, catering to all age groups and tastes. Dating back to 1927, the Jacksonville venue has helped create long-lasting memories for four generations of Floridians.
By offering drinks through six stationary bars and four mobile bars (with tablets), Florida Theatre keeps even the biggest crowds happy. But these bars operate under the usual time constraints seen by theatrical venues. Crowds generally need their drinks in a short timespan, often before shows start and during intermission. Because of this, it’s important that employees be able to fill orders and process payments as quickly as possible.
Florida Theatre’s ten bars were still using standard cash drawers and external credit card machines. Not only was this process slow, but it also posed challenges to the four mobile bars that had to be set up for larger events. The data center was housed on site, which meant if there was a problem, they either had to wait for support or try to troubleshoot issues themselves.
The theater’s existing system lacked the analytics Florida Theatre needed to gain insight into customer traffic patterns. This information can be put toward more accurately predicting crowd flow in order to decide how many mobile bars to deploy for each event. The existing system also led to frequent pricing errors, costing the theater money on a daily basis.
Florida Theatre’s management wanted a cloud-based solution with live 24/7 support. They needed to know that if there were a problem in the middle of an important event, it would be fixed immediately by knowledgeable professionals. As with many entertainment venues, Florida Theatre needed a system that new employees could learn quickly and that would speed up each transaction to allow for heavy customer volumes.
They also needed a streamlined solution that required less equipment and built-in inventory tracking. With multiple bars operating at varying intervals, Florida Theatre’s management needed to be able to manage everything from one place, rather than having to aggregate data from up to ten different POS systems.
POS Prophet Systems installed a cloud-based POSExpress system at each stationary bar. Because the theater’s four mobile bars were packed up and stored after each major event, POS Prophet Systems also installed a smaller footprint of the hardware at each mobile bar. These mobile versions were built to safely withstand being moved throughout the theater as needed.
Each system was powered by POS Prophet Systems, built by a team that has more than 20 years of small business software development experience. With POS Prophet Systems, Florida Theatre had access to a suite of services that included a touchscreen design, integrated accounts receivable and accounting, and built-in inventory management. The new system would give theater employees automated management of inventory and payments, as well as allowing staff to easily provide services like gift cards and a customer loyalty program.
Because Florida Theatre’s new system was cloud based, there was no longer a need to house a data server on site. There were no specialized software features required, so POS Prophet Systems provided a Touch Dynamic Breeze Performance terminals at the stationary bars, HP ElitePad tablet units equipped with HP Retail Jackets at all the portable bars, and Citizen CT-S2000 front-feeding thermal receipt printers with spill-proof design.
POS Prophet Systems’ Kelly Laufer and Kevin Glynn handled the installation, which included setup, training, and assisting with initial live operations over a two-day period. Laufer and Glynn were on site throughout the evening of the theatre’s first event, noting how quickly the staff became comfortable with the new system. At the end of the evening, Florida Theatre’s management was excited to see that all of the drawers balanced perfectly and the evening was a huge success.
The Florida Theatre now has a POS setup that seamlessly handles inventory management and accounting processes, while also providing information on sales and revenue for each bar. Reporting and inventory are centralized, allowing managers to oversee operations throughout the theater, even on the busiest nights.
